Desktop app vs web app: which should your business build?
A web app runs in the browser; a desktop app is installed on Windows or Mac. Here's how to choose — from a team that builds and runs both.
A web app is software people use in their browser — a client portal, a booking system or a dashboard. A desktop app is installed on a Windows or Mac computer and runs on that machine. Both can look modern and both can connect to the same online services. What differs is where the work happens.
The short answer
- Build a web app when many people need access from anywhere, on any device, with nothing to install.
- Build a desktop app when the work is heavy — video, large files, AI on the device — when it must work offline, or when it needs the computer's own hardware.
Side-by-side comparison
| Compared | Web app | Desktop app |
|---|---|---|
| Where it runs | In the browser | On the user's computer |
| Installation | None — open a link | An installer, once |
| Works offline | Limited | Yes |
| Heavy work | Done on your servers | Done on the user's computer |
| Updates | Instant for everyone | Automatic updates, built in |
| Reach | Any device with a browser | Windows and Mac computers |
When a web app is the better choice
- Your customers or staff log in from many devices, including phones.
- The app is mostly forms, records and dashboards.
- Data must be shared live between many users.
When a desktop app is the better choice
- Heavy processing: editing or rendering video, handling large files or running AI on the device.
- Offline work: the app must keep working without a stable connection.
- Privacy: files should stay on the user's computer instead of being uploaded.
- Hardware access: the app uses the GPU, local folders or connected devices.
Our own apps are examples. Zenra AI Viral Clips renders 4K clips on the user's own PC, so their video is never uploaded. Zenra Video Downloader saves large files straight to the computer, several at a time.
Can you have both?
Yes, and many products do. A shared backend can serve a web app, a desktop app and a mobile app at once. Some desktop apps are even built with web technology (Electron or Tauri), so much of the code is shared. A common path is to start with the version your users need most, then add the other once it proves itself.
What a proper desktop app needs
A desktop app is more than its screens. Before launch, plan for:
- A proper installer, with shortcuts and a clean uninstall.
- Code signing where the platform requires it, so it opens without warnings.
- Automatic updates, so every user stays on the latest version.
- Licensing and payments, if you sell it.
- Crash and error reporting, so problems are fixed fast.
